Certified Destruction
Certified Destruction Service is available through DSC for the disposal of sensitive documents and files. Our customers are provided with a monthly printout of pending destruction dates whereby they can then instruct DSC as to which documents are to be destroyed.
Certificates of Destruction and computer printouts detailing the material that has been destroyed are provided to the client for their document control. We also supply our clients with specialized security consoles/bins. These are serviced per a customized schedule based on the client’s needs. Once we empty and destroy the contents of these consoles we forward a Certificate of Destruction to the client.
DSC’s destruction service process is as follows:
- Security console(s) will be placed in predetermined location(s)
- DSC will attach a service log in each console. Our associates will initial all console logs on the scheduled service day to provide destruction tracking.
- Confidential material is contained in specially designed bags within the consoles, and only DSC has a key to access these consoles. However, it can be arranged for certain authorized individuals to obtain a key.
- DSC will remove all confidential materials from our security consoles on a weekly, bi-weekly, or monthly basis. Our associates will remove the Sensitive documentation and place them in our secure mobile containers at time of service.
- Only our trained DSC personnel will provide service for the consoles and pick-up the destruction materials. Our team has had extensive training in handling confidential materials.
- All destruction material will be placed in a securely locked truck for transport.
- A process of cross-cut shredding increases the confidentiality of materials. All materials are securely shredded into 5/8” confetti-type pieces, which are then sent to a secure and private paper mill for recycling.
- Certificates of Destruction will be issued on a monthly basis for all destroyed materials.
Document Storage Corporation is approved in accordance with federal and state laws for DHS Title 22 “Program Flexibility” by the State of California and Joint Commissions to manage offsite records. DSC is in full compliance of HIPAA, the Graham- Leach-Bliley Act, the Sarbanes-Oxley Act, SB l9, and AB416 for the confidentiality, privacy, and destruction of records. Furthermore, DSC operates a secure, private, non-public facility. DSC has well sophisticated procedures in place to protect and maintain the confidentiality of records during the retrieval, delivery, and storage and disposal process.
